Introduction

FleetLinq ("we", "us", "our") is the platform provider. Our service is designed to empower rental companies ("Companies") to manage their operations.

IMPORTANT: FleetLinq is a platform provider. If you are a customer booking a vehicle, your relationship and rental agreement are directly with the Company renting you the vehicle. FleetLinq provides the software to facilitate this interaction but is not a party to the rental agreement.

1. Information We Collect

1.1 Information Provided by Companies

Account Information:

  • Name, business email (fleetlinq.on@gmail.com), phone number.
  • Company registration and tax details.
  • Billing information and subscription tier selection.

Operational Fleet Data:

  • Maintenance Logs: Detailed records of vehicle services, costs, and technician notes.
  • Financial ROI Data: Purchase prices, revenue per vehicle, and overhead costs used to calculate asset profitability.
  • Issue Reports: Data related to Accidents, Breakdowns, and other incidents, including user comments and resolutions.

1.2 Information Provided by Customers

When you book a vehicle through a Company using FleetLinq:

  • Profile Data: Name, contact details, driver's license information.
  • Booking Records: Rental dates, vehicle selection, and location.
  • Incident Reports: If you report an accident or breakdown, we store your report, photos, and any comments/responses.
  • Reviews & Ratings: Feedback and star ratings provided for the Company or vehicle.

1.3 Technical Data

  • Authentication: 6-digit atomic OTP (One-Time Password) request logs.
  • Usage Data: Dashboard interactions, account switcher history, and portal navigation.

2. How We Use Your Information

  • To Provide the Service: Enabling the multi-tenant membership model and account switcher.
  • Operational Intelligence: Calculating ROI per vehicle and generating automated maintenance alerts.
  • Communication: Sending transactional emails via Resend (e.g., booking confirmations, maintenance triggers).
  • Elite Analytics: Providing AI-driven fleet insights for Elite tier subscribers via Google Gemini AI.

3. Data Retention

We retain Operational Fleet Data (Maintenance Logs, ROI data) and Customer Incident Reports for as long as the Company's account is active, or for 7 years to comply with financial and safety regulations.
